Organising a photo shoot

Journalists love a good photo; it can make or break a story. If you can provide a good photo you can in some cases double the size of your article, meaning greater impact. It’s a good idea to try and come up with something new, an angle that captures the imagination. For example if you choose to host a charity dinner, why not theme the evening which should offer you many excellent photo opportunities, or if you have entered yourself in a marathon then why not go in fancy address as the photo will stand out from the rest.

Always think about the content of your photo shoot. Some known favourites are as follows:

  • Make your photo humorous.
  • Get a celebrity involved. Maybe there is a celebrity living in your area that may be receptive to helping you publicise your event. Look out for local bands, your MP or even a sports personality.
  • As already mentioned, try fancy dress.
  • Make sure you have enough STARS branded items on display

As long as you give enough notice we will make sure we can provide you with banners, posters, t-shirts etc to allow you to highlight your event successfully.

Finally remember that a picture should make sense in relation to your article. It should help tell a story and be interesting. Make sure that any people in the photo are looking at the camera and are smiling and that the photo is crisp and clear.

Steps to setting up a successful photo opportunity.

The location is paramount. If you can, choose an outside location, with plenty of space for photographers to gather. Have a back up plan just in case of weather issues. If you have to the photo opportunity in doors then follow the usually health and safety requirements such as fire exits etc.

Next you have to give the local papers plenty of notice to allow them the time to send someone. This should be much shorter than a news article but should still cover the six questions (who, how, why, what, when, where). We have found that a good time to arrange a photo shoot is around the 11am mark as gives photo editors’ opportunity to use the photos for either the morning or evening issue.

Once you have made contact and sent them all the relevant details, make a follow up call a few days before the photo shoot to make sure that everybody has it diarised.

Always make sure that you arrange some of your own photos as well, as a record of your event and as another form of back up.

Preparation is key. Local photojournalists are known to take candid shots that may be unflattering so make all the preparations possible so that you are ready the instant they arrive.

In your preparation also include written notes of who is who the photo and which journalists turn up.

Finally this is where your planning can pay off. Get the photo you had taken yourself developed quickly, in the 6 by 8 format and offer them to any publications that did not send photographers.
